Personal Assistant to Founding Directors  – London

Flint seeks a proactive, creatively-orientated and highly organised personal assistant with proven administrative experience and a passion for the arts, to support the Founding Directors. The role is essentially about maximising the effectiveness of the Directors’ time by dealing with secretarial and administrative tasks and optimising their respective professional environment and operations. It is also very much about supporting new business development through the monitoring and activation of art industry news and the nurturing of new business connections.

Essential

  • Educated to degree level
  • Minimum 3-4 years’ experience of working in the PR or communications industries, ideally with an agency
  • A genuine and demonstrable passion for arts and cultureAdministrative logistics: Provide secretarial and administrative support to the Directors, including organising and maintaining diaries and making appointments; coordinating travel and accommodation logistics; screening telephone calls, enquiries and requests, and handling them when appropriate.
  • Administrative logistics: Provide secretarial and administrative support to the Directors, including organising and maintaining diaries and making appointments; coordinating travel and accommodation logistics; screening telephone calls, enquiries and requests, and handling them when appropriate.
  • Managing inbox: Helping Directors stay organised by managing emails, clearing irrelevant mails whilst highlighting important action points for follow-up.
  •  Contacts: Ensuring personal contacts are up to date and correctly inputted and tagged in the company database; ensuring Directors follow up with contacts on business development conversations and leads post events.
  • Monitoring business development leads: Monitoring a range of sources of business development information, including specific industry publications, online industry news sites and tender portals, as well as competitors’ client activity, ensuring Directors are up to speed and proactively actioning relevant opportunities.
  •  Anticipating and scheduling work events: keeping abreast of what openings and initiatives are happening and coordinating personal diaries to ensure Flint is represented where appropriate.
  •  Supporting campaign work: Assisting with ad hoc research tasks in support of campaign strategy development, pitches and client meetings; drafting and circulating agendas and minutes for internal meetings; helping ensure case studies and cred docs are well organised and up-to-date.

Flint runs a rolling three-month internship programme, designed to provide wide-ranging experience and insight into life at a specialist cultural communications consultancy.  The role requires a team player with excellent attention to detail, strong written and verbal communication skills and a desire to learn about the PR and communications process within the arts, culture and luxury sectors.
